Regular Meeting Minutes

Location:  City Hall, First Floor Conference Room

Call to Order:  The meeting was called to order at 4:35 p.m. by President David Schmidt.

Roll Call:  As listed above.

Agenda Approval:  A motion was made to accept the agenda by n’Detenga n’Gurumo and seconded by Beth Johnston.  All voted aye.

Financial Report:   No report given, Becky O’Connor was out sick.

Approval of Minutes:  A motion to accept the February 5, 2009 minutes was made by Beth Johnston and seconded by Jimmy Mihori.  All voted aye.

Continuing Committee Reports:

Miyazu:

• Student Exchange: Students still have not received host family information.  Jimmy needs final names and numbers of students going to Japan so he can make a formal order for tickets; Charlotte will follow up.  The students need a proclamation from the City Commission in May to take on to Japan with them.  June 7, 2009 at 10:30 a.m., there will be a send off at Trinity for the students.  A motion was made by Beth Johnston to allocate $150 for refreshments for the send off; it was seconded by Rhonda Mensah.  All voted aye.
• Hatsume:  Saturday, March 21, 2009. The time was changed to 11am – 6pm.  Bill asked everyone to check the sign up sheet to verify their times to work.  He needs more volunteers to work.  David to check on tent arrangements and get coolers, radios and golf cart.  Volunteers are to pick up their wristbands from Donna.

Moshi:  

• Safari Dinner:  The Safari Dinner will be at the Palm Beach County Zoo on April 17, 2009, 6:30 – 10:30.  The price of the dinner is $75 per person. 

*Ballet Barika, Dymin & Jomo will entertain

*Letter asking for donations was passed out; Rhonda needs donations by end of the month

*Rhonda will purchase some items to make baskets for raffle, ticket price TBD

*Will do a 50/50 Raffle

*Art person will donate 20% of anything he sells

*Oz/Rhonda will do a 5 minute presentation of their trip

*Beth Johnston will send flyer out to Chamber members

*David/Mr. Barcinski/Rhonda will revisit the zoo to make sure all is in order

*Instead of having a photographer, it was suggested to put disposable cameras on the tables

*Last day to purchase tickets – April 10^th

*Every Board member to get 10 invitations to hand out to friends

*Tanzania ambassador to be invited to dinner; David to draft letter for this

*No children’s tickets, same price $75

*No decision on beer/wine sales

*Invitation to be sent out by March 10^th

*Take flyers and posters to Hatsume, Zoo and open house at Fire Station

*RSVP Card will have a space to indicate if they are interested in the bus

Sister Schools:  Nothing to report.

Young Artist Competition:  April 6^th at Old School Square, 5:30 – 6:30 pm.

New Business:  

• Young Writers Contest, American Heritage will participate.
• Bev reported that American Heritage is having a Multicultural Day on April 2^nd, 8:45 – 2:30 pm; she will forward the program for the day when she gets it.

Non-Agenda Item:  Next meeting will be the Thursday, April 2, 2009 @ 4:30 p.m., in the First Floor Conference Room.
